Publishing Policies & Ethics

Ethical Publication Practices

Web of Conferences journals are committed to the standards of publishing integrity and academic honesty. Editors, reviewers and authors are encouraged to refer to The Committee on Publishing Ethics (COPE) and to follow its Core Practices and guidelines.

EPJ Web of Conferences Publishing Ethics Guidelines (PDF)

Serious misconduct (for example, data fabrication, falsification or plagiarism) is taken seriously into consideration and is further investigated. When a suspicion of misconduct turns out to be confirmed, the available sanction is applied.

Before publication, Web of Conferences will randomly review papers from each scientific conference using the powerful text comparison tool: iThenticate. This procedure aims to prevent scholarly and professional plagiarism.

Post-publication article corrections

After publication, it is not possible to replace a PDF file by another one, or to add a correction directly in the published PDF file. Any correction requires to publish a “Publisher note” or a “Corrigendum”. Journals' Requirements

The journals make clear their aims and scope, editorial policy and manuscript requirements in terms of presentation and submissions.

  • Journals' instructions are available to any contributor.
  • Authors are expected to pursue objectiveness and rigour in all aspects of their work. Authors are obligated to provide retractions or corrections of mistakes.
  • The list of authors should accurately reflect who did the work.
  • Journals only consider work that has not been published and is not being considered for publication elsewhere.
  • Editors, authors and peer reviewers must disclose interests that might appear to affect their ability to present or review data objectively.
  • Journals recommend the use of a specific copyright and make it available on the journal pages.

Editorial Committee

Editorial decisions and editorial processes are run by the editors of the proceedings who are members of the organizing committee of the event. The detailed procedures may vary from event to event according to the custom and practice of each community.

  • The editors of the proceedings are committed to ensuring the quality of the publication and that what is reported is ethical, accurate and relevant to the journal.
  • They have full independence and are not dictated to or influenced by any factors (political, commercial, etc.). Their decision to accept or reject a paper for publication has been based only on the merits of the work and the relevance to the journal.
  • When errors are found, the editors should promote publication of corrections or retraction.

Peer Review

All published articles are peer reviewed.

  • Journals' policy encourages the use of blinded peer review and, when it is possible, multiple reviewers.
  • Reviews must be conducted by expert referees, who have been requested to provide unbiased and constructive comments aimed, whenever possible, at improving the work.
  • Proceedings editors must take all reasonable steps to ensure the quality of the materials they publish.

Starting March 2014, all published proceedings contain a Statement of Peer Review confirming that the editors have conducted the reviewing process in accordance with the journals' Policy on Publishing Integrity.

For authors

Web of Conferences publishes full conference proceedings; therefore, publication proposals can only be submitted by conference organizers and authors cannot directly submit their articles.

Instructions for authors

We recommend that authors read our Publishing Policies & Ethics, as well as our Statement on geographical naming conventions and use our editorial guidelines and templates to prepare their article.

Besides, some tips on how to write a TITLE and an ABSTRACT in a proper way are given in this document. Please read it carefully before submitting your article.

Before preparing your article, please verify with the organizers of the proceedings the document type to be supplied at submission. For consistency into the volume, it is requested to use the same template for all the articles. There are 3 possible options:

This guideline is made to provide clear instructions on how to prepare a ready PDF document for conference organizers who have decided to select this publishing option - online and print publication.

Authors must follow these PDF guidelines very carefully before submitting their articles. Particular attention must be paid to the authors’s names and affiliations in order to avoid any erratum in the future.

The copyright is retained by the author(s) under the Creative Commons Attribution license, which permits unrestricted use, distribution, and reproduction in any medium, provided the original work is properly cited.

Authors grant EDP Sciences a license to publish their article and identify EDP Sciences as the original publisher. They also grant any third party the right to use, distribute and reproduce the article in any medium, provided the original work is properly cited.

Policy on re-use

Conference papers may be updated, or enhanced, for further publication as a regular journal article, including submission to journals not published by EDP Sciences. Journal articles derived from work previously published in conference proceedings must contain a substantial amount of new or previously unpublished results. The question of whether there is sufficient additional material to warrant a new publication, is a matter for individual journals to decide. To enable informed decisions by journals, we recommend the authors to supply their chosen journal with a copy of their proceedings article, accompanied with a clear statement describing the material reproduced. In addition, a journal article derived from a proceedings paper must include a citation to this proceedings paper.

Article-processing charges

There are no article processing charges for authors; all costs incurred are the responsibility of the conference organizers.
